Society records

Society records in one place

Registration certificate, bye-laws, committee handover, and the audit file stay with the society, not on one office bearer’s laptop.

Documents and the committee

The document store holds the registration certificate, bye-laws, the rule book, and filed audit reports. Each file can be marked for who may open it: the committee, owners, or tenants. Committee seats and handover are recorded so a new secretary can see who held the post.

Sensitive actions, including entering the desk and a committee handover, leave an activity log. A staff login does not open these records unless the society grants it.

Maharashtra member books

Under the Maharashtra Co-operative Societies Act, 1960, Form I is the register of members (Rule 32) and Form J is the current list of members (Rule 33). J-1 and J-2 are the year-end active and non-active lists. CHS Desk keeps those books in the committee desk. Tenants stay on the flat register. They are not shareholders on Form I.

The wider cooperative workflow is on cooperative housing society software. People on the register are under resident management.
